Deposits & Prepayments

Overview

The Deposits & Prepayments feature provides a dedicated tracking page for viewing deposit and prepayment transactions synced from the ERP system. Customers and workers can view prepayment records and apply them to open invoices. A corresponding prepayments section can also be displayed on the Account Statement page.

This feature is available starting in release 2026.06 (CIMcloud internal tag 4.16.0). It is controlled by the Show Deposits & Prepayments in Menu feature toggle in Application Settings.

What a Customer Sees

Customers with the Deposits & Prepayments feature enabled see a Deposits & Prepayments navigation section in their portal menu. Clicking the Deposits & Prepayments link opens a tracking page that displays all prepayment transactions associated with the customer’s account.

The tracking page displays a data table with the following columns:

  • Payment # — The payment record identifier
  • Reference — A reference value associated with the payment
  • Date Received — The date the payment was received
  • Invoice # — The invoice associated with the prepayment
  • Payment Type — The type of payment (e.g., check, credit card)
  • Transaction Type — Displays “Prepayment” for deposit and prepayment records
  • Amount — The payment amount
  • Account — The account the payment belongs to (visible for users with access to multiple accounts)

The data table supports searching, sorting, and pagination. Customers with Power Customer access to multiple accounts can use Account Query Type filters to view prepayment records across their associated accounts.

Prepayments on the Account Statement

If the Show Prepayments Section on Statement setting is enabled, a Prepayments section appears on the Account Statement page. This section displays prepayment records in a data table with the following default columns:

  • Invoice # — The invoice number associated with the prepayment
  • Invoice Date — The date of the prepayment invoice
  • Comments — Any comments attached to the prepayment record
  • Amount — The prepayment amount

A total row at the bottom of the table shows the combined prepayment amount. If no prepayment records exist, a message is displayed: “You don’t have any prepayments.”

What a CRM Worker Sees

Workers see a Deposits & Prepayments link in the Worker Portal under the Payments & Credits section. Clicking this link opens the same tracking page available to customers, displaying prepayment records for the account being viewed.

The data table columns and functionality are the same as what customers see. Workers can use Account Query Type filters to view prepayment records for specific accounts.

What an Admin Worker Sees

Admin workers manage the Deposits & Prepayments feature under Application Settings > Deposits & Prepayments:

  • Show Deposits & Prepayments in Menu -Allow access to the Deposits & Prepayments page.
  • Show Prepayments Section on Statement – Displays prepayments on statements on invoices. This setting is enabled by default when the feature is turned on.
