Overview

This feature is part of the Subscriptions Ordering bundle and is in Beta starting in <release to be determined>. The subscription bundle allows for users to create recurring orders and have the next x (2,3,4,…) number of those recurring orders created as the subscription is being created. These next x of the created orders are immediately editable. Once these are created any edits can be done without going through a checkout process. There are additional options that allow these orders to be tied to Delivery Routes, and if desired these delivery routes can be used to create blank subscriptions so users on the routes just need to add items to the existing blank orders. When the day, or preceding day of the order is reached then the order is placed. and can go into the ERP. Options can be configured to push to the ERP before the order date if desired. They are typically placed and pushed the day before the order date.

This feature uses the concept of Subscriptions and Subscription Clones. A Subscription is the template order that holds the recurring items and their frequency. The subscription is never placed. Subscription clones are the orders automatically created from the subscription and can be edited to adjust or remove the items added from the subscription. Additional items can be added as a one time additions to clones.

What an CRM User Sees

A CRM work worker will see subscription and clones for the accounts they have access to. Additionally they have access to the see and manage the delivery routes if needed.

The subscriptions page shows the current active subscriptions. If you click on the subscription number it will impersonate the user and show the subscription on the sitefront.

The subscription clones page shows all the active clones (those that have not been completed). If you click on the clone number it will impersonate the user and show the subscription on the sitefront.

What ADMIN User Sees

An Admin worker sees the settings for subscriptions and associated features.

  1. Number of Subscription Orders to Create – Once a subscription is created this controls the number of clones that get created. As clones are placed as orders the system will create new clones later in the day to keep the number of clones users can manage to this value.
  2. Allow only One Subscription per Shipping Address? – Many times, especially with delivery routes, only one subscription per shipping address makes sense. This keeps it so only one subscription can be created per address. This is typically set to Yes.
  3. Subscription Order Frequency – This is a delimited list of the options users will see for setting their subscription recurrence. The options should be delimited by a pipe(|) and be made up of three values separated by a tilde (~). The first value is what displays to the user, the second value is the frequency (day, week, month), and the third is the quantity (1, 2,3,…). If you want the droplist to display Every Week then one of the options would be Every Week~week~1. Every three weeks would be Every Three Weeks~week~3. Every two months would be Every Other Month~month~2.   4. Label for Pending Subscription Orders This is the heading/label that shows for the clones on the sitefront. This is typically something like Delivery or Recuring Shipment and is used across multiple locations.
  5. Label for Pending Subscription Orders (plural) – This is the plural for the previous option (Deliveries)
  6. Help text for removing an item from a subscription – When an Item is removed from from a subscription an message pops up to verify they want to continue. This is the message that displays for them to accept for the delete to happen.
  7. Subscription Signup Text – When not creating a blank subscription the user needs to go through the checkout process to create the subscription. This is the button to go through checkout and complete the subscription.
  8. Skip Subscription Clone Button Text – There is a button to allow users to skip one of the clones. This is the label for that button.
  9. Restore Subscription Clone Button Text – Once the clone is skipped this is the button that allows the clone to be re-activated
  10. Add Products to Subscription Button Text – This is the button on different pages that will redirect to the product catalog to add items to a subscription or clone.
  11. Modify Subscription Button Text – This is the button that will redirect to the subscription page to be able to modify the subscription.
  12. Subscription Clone Processing Text – This is the text that shows in the cart window along with the date of the order for shipment or delivery
  13. View Subscription Order Link Text – this is the link at the top of the cart window to link to the subscription for the deliveries/shipments
  14. Allow Subscription Holds? – This controls if the hold button displays to be able to put a subscription on hold
  15. Allow Subscription Cancellations? – This controls the display of a button that would allow subscriptions to be cancelled
  16. Subscription Cancel Button Text – This is the text that displays for the cancel button
  17. Subscription Hold Instructions – This is the help instructions that display for putting a subscription on hold
  18. Subscription Hold Button Text – This is the text on the button for placing subscriptions on hold
  19. Subscription Hold Cancel Warning Text – This is the warning text that displays when cancelling a subscription hold
  20. Enable Add to Subscription from Order History Pages – This enables the ability to add items from the history pages (Sales Order Header, Sales Order Detail, Invoice Header, and/or Invoice Detail). When clicked on the sitefront it will load the search results page with the enabled items from the order with the quantities from the history record. The products can be removed or quantities updated. There will be a single Add button that will allow items to be added to a subscription or selected clones.
  21. Add to Delivery from Order History Button Text – This is the text for the add from history button
  22. Order History Pages to show the “Add to Subscription” button – If you turn on the ability to add to subscriptions from history this is this allows you to choose which of the pages to be able to add from.
  23. Default Payment Method Applied to Blank Subscriptions – When creating blank subscriptions, this is the 32 char key of the payment method to default to these subscriptions.
  24. Subscription Pop-up Start Date Help Text – 
  25. Allow Comments on Subscriptions – This enables the field to be able to add comments to subscriptions
  26. Show Subscription Totals on Showcart Page –This allows totals to be shown or hidden when viewing subscriptions
  27. Subscription Update Warning Message on Showcart Page – This is the warning message that shows when a subscription is updated to let users know that all clones will be updated. It can be customized to match site terminology.
  28. Use Delivery Routes? – This turns on tying subscriptions to Delivery Routes. If enabled the options for clone dates will be based on the delivery rote tied to the subscription shipping address.
  29. Hash Order Data – When this feature is enabled it populates hash fields on the order to be able to track changes. This is needed if using the emails to notify users of changes to the subscription or clones.
  30. Auto Create Blank Subscription Clones – This only functions if delivery routes are being used. With this enabled if users flag an account to create blank subscriptions then the system will create blank subscriptions and clones for the account. Users can then see the upcoming clones and edit them. If not enabled the clones will be created immediately when the first item is added to a subscription. This is used if specific delivery dates can be determines and it is desired for users to just be able to manage the individual clones without having to create a recurring subscription.
  31. Subscription Header Help Text on Showcart.asp – This is the help text at the top of the subscriptions edit page. It can be customized for site terminology.

  33. Default Shipping Method for Blank Subscriptions – When creating blank subscriptions, this is the 32 char key of the shipping method to default to these subscriptions.

What A Customer Site User Sees

What a customer site users sees can vary depending on the setting. Subscriptions without routes and blank subscriptions will show users an option to create a subscription during checkout. If they choose to create the order as a subscription it will give them the option to set the frequency of the subscription based on the options set above.

If Delivery Routes are used then the options for the subscription recurrence will be based on the delivery route assigned to the order address.

If the Blank Subscription option is enabled then users will not need to check out to manage their subscription and clones (Deliveries) just by adding products to the created subscription/clones.

When the “ADD” button is selected for subscriptions (If also allowing standard order creation there are separate buttons for subscriptions and one off orders), a modal pops up with the option to add the item to a subscription or one of the clones/deliveries if they already exist.

After added it will show in the cart window for the appropriate days.

Additional options available:

Notes: Notes can be set on the Subscription which will copy to the clones or notes can be set/overridden on the individual clones

Skipping: A clone can be skipped. When skipped it will not process and the skipped button will be replaced with a Restore button where the clone can restored if desired.

Holds: Holds can be placed on a subscription for a set period. During the period any clones will be set to skipped.

Add From History: Adding from history adds an Add to Subscription link on different history pages as noted above. When clicked it loads any active items on the search results page with the quantities from the record. These can be edited and then when click to add will uses the same pop-up to allow these items to be added to either the subscription or a given clone.
