Overview
The Spend Allowance feature allows you to set and manage a dollar amount “allowance” for website users (contacts). When Spend Allowance is enabled and a contact has a set allowance, they’ll be able to place orders up to that allowance without payment. For example, a contact with a spend allowance of $200 can place orders up to $200 without a payment method. Once the user goes beyond their allowance, they’ll be required to pay the remaining amount using payment methods available to them on the website. This feature is available as part of the Product Catalog & Cart/Ordering in Customer Portal + Product Workspace bundle.
Important Notes:
- Tax:
- If you are calculating and charging sales tax on the website, note that tax calculations are based on the order totals before the spend allowance is applied.
- Order import into ERP:
- This feature may require updates to the way orders are imported into your ERP system. Be sure to test orders using spend allowance all the way through to your ERP system, and contact CIMcloud support with any questions or updates needed.
What a Customer Sees
When a customer (contact) with a spend allowance logs into the website, they will see their spend allowance balance. Note there are options for where the spend allowance displays on the website.

In the checkout process, the user will see details of their balance in the order totals.

A spend allowance tracking page will show the user a history of their spend allowance, including negative (uses on orders) and positive adjustments.
What a Worker Sees
Workers with CRM Workspace access will also be able to track Spend Allowance usage/adjustments across the accounts they have access to.

What an Admin Worker Sees
Workers with access to view and edit contacts in the CRM Workspace with have the ability to view and mange a contact’s spend allowance.

These settings are available under Settings Workspace > System-Wide Settings > Application Settings > Customer Data > Employee / Company Store Tools for High Qty Multi-Store (ES) – BETA
- Use Spend Allowance? – Enables the overall feature. This must be “On” to use spend allowances.
- Enable Spend Allowance in checkout? – Enables the display of the user’s spend allowance balance on the payment page.
- Spend Allowance Label – This is the label of the spend allowance used on the order that displays on the payment page.
- Show Spend Allowance Top Banner – Enables the display of the spend allowance balance for the user in a banner in the website header.
- These settings control where the spend allowance is displayed within the Worker Portal (for Workers):
- Show Spend Allowance settings on contact add/edit page? – Enables the spend allowance section on the contact add-edit page where an Admin Worker can enable and set the spend allowance for a specific contact
- Show Spend Allowance column on Contacts Manage page? – Enables the display of the spend allowance as a column on the contacts manage page.
- Show Spend Allowance Column on Online Orders Page? – Enables the display of the spend allowance used on an order as a column on the online orders page.
- Show Order Balance Column on Online Orders page? Enables the display of the order balance (after spend allowance used) as a column on the online orders page in the Worker Portal.
As of release2025.11 (4.15.0) there are additional worker features that can be used to control the display for spend allowance on different pages. This is in the Employee / Company Store Tools for High Qty Multi-Store (ES) – BETA bundle section of workspace settings and worker group settings
- Manage Spend Allowance – With this feature on the page for Spend Allowance Tracking noted above is available
- Show Spend Allowance column on Contacts Manage page? – This enables the columns to show spend allowance information on the manage contacts page
- Show Spend Allowance Column on Online Orders Page? – This enables the Spend Allowance amount used for the order on the Online Orders page
- Show Spend Allowance settings on contact add/edit page? – this enables the fields for setting a contact for spend allowance and their balance on the Contact edit page
- Show Order Balance Column on Online Orders page? – This enables the Spend Allowance Balance for the order on the Online Orders page
